As this is my first day, Mr. Wan (Manager of Alfa Dinamik Travel & Tours) hold an induction programme whereby I am exposed to the organizational culture, introduced to the co-workers and I have been briefed about, my job task as an employee (Intern Student). Since Alfa Dinamik Travel & Tours was well known as a travel agency and also operates as a car rental business, I was given a simple task as this is my first day of intern. I was guided by the manager on how to take reservations and make booking in manual form. As there are customers who just walk in to make booking for car, I was asked to take their details in a paper where I just need to fill up customers’ information accordingly as per the requirement. I have realized that it is not all about filling the information needed but, it is also about how we contact and communicate with customers. Well, I cannot simply ask for their identification card and license to fill in the documents as there are few manners to be followed so that I can get the information’s. It cannot be denied that, I need to greet them as the foremost thing. Consultation need to be started with greetings so that customers feel happy, and comfortable. Initial information exchange is very important as in this stage a staff that is making reservations can identify the needs and wants of a customer which best fitted the customers. This is how my first day of intern goes. 

Since two staffs that are working in Alfa Dinamik Travel & Tours was on leave I need to cover their work too. I have been guided on how to answer phone calls from customers that wanted to make car bookings. It is totally different to take information from customers direct from face to face and through phone. As majority of them are Kelantanese, they spoke in their language and I was unable to understand what they spoke fully. It was really hard for me but yet it was part of my task. There are also people who are outside from Kelantan called up to make car bookings. Since, I can speak English language fluently and it becomes an advantage for me whereby I am able to take bookings through phone without problem. I believe that, I can improve my communication skills better. After make car reservations, I need to check if the car that they wanted to rent is in good condition so that there will be no problem at the end. When they wanted to rent I need ask for their signature on the booking document to verify all the information provided is true, right and they should return back the car in good condition as how given for them without any problem. This can avoid problem later on. After the car was return I need to check the car’s condition if it is in a good condition. After that, I need to call them back and ask if they have any problem with the car when they drive so that we, Alfa Dinamik Travel & Tours can fix it for the next time. I have been told that assess customers feedback is one of the ways to make improvement with our service and to build a good customer relationship with customers as well. I have gone back after work at 9pm. 

So, today for the whole day I spend my time wisely to design posters and itinerary for LA Hot Spring, Besut. I have designed around 9 posters and email it to my manager so that he can go through the posters that I have did and he can choose the best one for the destination. As for the itinerary, Madam Akma, who is Mr. Wan’s wife, will go through. If there are anything to be edited she will let me know and I need to re-do it again. This is my first time, creating posters for a travel agency. Yet, it takes time and hard, I am happy that I have learned something new. This is how my third day goes.

After gather all those information, I have started to do the brochure. I fill up all the information that I have obtained and I have also included pictures of the destinations to make the brochure beautiful and attractive. Before this, I had done brochures with friends and this was my first time of doing brochure alone. It was a great experience for my learning process. Though it is hard, I have manage to settle and complete an interesting brochure. This is how my sixth day of my internship went through. 

Despite that, I have also created itinerary for Hatyai holiday package with the posters as well as my manger’s request for today. Besides, I have been asked by my manager to make reservations. As usual I have found interesting pictures and information to create pamphlet and I had finish it by 8pm. I had created 10 posters and email it to my manager. He had choose the best one and asked me to include few other information so I edit it a bit. After finish I went back at 9pm. That is all for today.

After that, a small photo session with manager and his wife have been conducted so I can proceed with my assignments. I have been assessed on how I work all these 14days and the paper that needed to be filled by manager was given back to me. They gave me positive comments and encourage me to open a travel agency. They also told me that, I had to build up more my confidence level so that I can deal and interact with customers in a better way. I have been invited for a lunch with manager and his wife. After enjoy my lunch with manager and his wife I went back home. I am given permission to leave office early since I have completed all my tasks successfully. Thus, I went back 2hours early at 3pm.
