two factor authorization is a very good way to lock down accounts and keep work safe. you can use your phone number, email or the authenticator app to do this.

passwords are another good way to lock down the account, these are good because you get to chose it however on some websites if you cant remember your desired password then you may not be able to reset it

one drive stores all work and progress you make in its system. you can store files, emails etc. if you lose the account then you may not be able to access it again

USB

usb's are good because it can store a lot of files and its in a physical form, only bad thing is that if you lose it then you cant recover your work.
