-must have a plan B incase of rainy weather.
-the backdrop to be bigger so we can have more working area
- subtitles for non tamil speaking residents or grls
-cannot push all the shoots in one day
- communication between us members must be very very clear. All must speak one language. We cannot let a vendor or artiste dictate to us and must be firm in what we want. Its ok for now since its our first time.
Ex: Songs took a long time to finalise. No proper minutes were taken so we also cannot verify what we actually told to Selvaduray.
But for ponggal we can do better. Have to do better.
-Dance was not well captured. He did his best but working area was small.

What went well:
The LIVE show was executed with no issues. We were able to attain viewership of at least 70 at one point of time. As we kept commenting, our FB friends got notifications and they watched our LIVE. This was a good clickbait.

தீபாவளி அன்பளிப்பு we had enough members to help the distribution. I was not able to make it for the packing of the groceries. But I am sure it went well.

Recording of the LIVE show, Mdm Buvanes, Mr Anish and Miss Dev did an excellent job in ensuring the Emcee and Videographer were able to make it on time to the various shooting spots. Kudos to all of you. The idea of getting all members involved in the recording was wonderful.

Food Distribution: I really liked this idea and I am extremely thankful to the sponsors for giving Marsiling IAEC the opportunity to help the needy in our Constituency. Residents were thankful for the food. Thank you Mdm Manisha,Mr Rama and Mr Anish for organising these meaningful events.

Lastly a big thank you to Mdm Manisha in holding the fort for everyone in the committee and giving members the opportunity to shine.

What could we improve on:
LIVE show and recording: The recording of the LIVE show could have been recorded earlier so that we would have the opportunity to reshoot if there were any parts that did not meet our expectations. I agree that instead of 1 day shoot, we could have shot for 2 days so that the members in charge and Videographer will not feel tired and the videographer could have had more scope to work with. The dance shoot would have been much better if it was outdoors as there was no room for moving and we had to change the choreography on the spot. In future, we should have a balance of old songs and new songs to reach out to more residents.

Grocery Distribution and packing:
I have mentioned that I did not help to pack the groceries. But I have heard that there was a shortage of food items towards the end of packing as members brought home the items thinking that there was extra. Members should not have taken any food items home prior to the event. As members who have been in this IAEC for many years, should know that this is not the way we should work. I hope that these types of irresponsible behaviour will not happen in the future. I have also heard of some unacceptable behaviour during the packing of the items. As a member please be responsible for your actions, there were people who were present who were not part of the committee. Please think of the image you are portraying.

Deeparaagam:

1) Overall, I am so proud of the members that were directly and indirectly involved in making the virtual Deeparaagam show a big hit with over 500 views! So, Good Job to Marsiling IAEC!

2) I honestly feel we overestimated the program flow when we packed all the shooting in one day thus, in future, we shall always have a contingency plan. This way when any of the shoot delays, such as late arrival of guests for their shoot, we can postpone to day 2.

3) Thanks to Manisha for giving me an opportunity to showcase my skills in make up for the singers, dancers, and emcee. As well as giving my deco business a chance to do an event for our committee. I have taken note of the feedback and as my business grow into greater heights I promise to present better outcomes.

4) I was attached to Mdm Buvanes during the day of the shoot and i must agree that it was not an easy job to be a organising chairman. However, with the amount of stress and hard work i would like to congratulate Mdm Buvanes for managing to pull together an awesome show. My friends and families were watching it and they all gave positive feedbacks.

Deepavali Anbalippu:

1) My friend, my sisters and I were helping out Mr Anish and Mr Aaron in packing some items for the distribution packages before we went up to start on the deco. During the packing there was good communication between us, and we managed to pack the items accordingly with the extras kept aside.

2) However after we did our deco for the shoot in the auditorium, we came back down to find members packing more items and thus I asked my friend and sisters to lend a helping hand again, however my sisters and friend got offended with the talks and inappropriate behaviour with some members in the hall at that point of time and I was not happy about it neither were my friend nor parents. Which made it hard for me to ask my parents to allow my sisters to help out in food distribution the following Sunday.

3) I would like to state clearly that whether to other members or not it is important that we behave professionally when we represent our committee as we want to set as good role models to the younger generations.

4) We are always looking for more youths to join our course, however, if our existing members do not portray professionalism, we cannot expect such.

5) We are a family, and it is important we maintain respect for the older AND younger members and volunteers.

6) With regards to the situation regarding the short of some food for the packing, let us refrain from giving out any extras until the event is over.

@ Buvanes

Deeparaagam 2020

1. As the Organising Chairman for this 1st time online event, I would like to thank each and every one of the IAEC members and the PA staff who were involved.

2. There was a lot of ground work that I had to do to kick start this event. Thanks to Mdm Manisha for all the assistance and guidance.

3. My vision of show casing an entertainment and a meaningful event to the viewers came true.

4. There are about 751 views as I am doing this feedback and that is a huge hit for this effort, time and budget that we had put in.

5. The Host, Anand and the Videography, PixelFrames went over and above to make our event a success.

6. PixelFrames had shoot about 4 extra hours for us and also helped us to upload it as a live feed on the Marsiling Home Facebook page. Thanks to Vanan.

7. The Residents were very sporty and co-operative in spite of waiting for very long hours in spite of the rain for their filming.

8. Singers recording and input was very good and the way some of the pictures inserted with two of the songs went very well and well done.

9. The four women’s entrepreneur’s segment had a good response.

10. Really thankful for the last minute acceptance from Sweet and Sassy Bakes to do the cooking and home segment.

Improve

11. In spite of having a Plan B it was also over ridden due to the unforeseen weather which happen to distort the whole filming plan. The Crew told us that even the Plan B cannot happen as the rain was very heavy and the sound will quality will be distorted.

12. The delay in the filming, changes in the shooting locations and backing off of people at a very last minute added to a lot of pressure and it also lead to cancelling 1 of the shoot on that day.

13. Need to be more aware of extra filming time in future due to retakes.

14. Check if make-up artist and transport is needed if we are going to have outdoor filming in future.

15. Move all outdoor filming to indoor in case of raining weather in future.

16. To have extra budget for such online event in case of last minute budgets needed.

17. Feedback from the Videographer for dancing segment: Dancers to choreograph the full song in the future and leave the editing to them.

18. Could have done a graphic background for the dance segment.

19. It was very disappointing and heart breaking to cancel the initial cooking & home segment planned with one of our pioneer IAEC member at a very last min. Sincere apologies to her and her family members who were waiting for us since morning till late afternoon.

20. In spite of informing temple personnel to get their information ready beforehand, they were only finding for information at the last min which also factored for the delay in the filming timing.

21. As it’s the first time, it is a learning process for the team

22. Communication –As the Organising Committee chairman, I felt that some communication in the group chat could have been avoided and clarified personally as it had escalated to a scenario of non-cohesiveness between myself and the team. I would like to raise those issues with the team personally and sort them out to move on.

Deeparaagam
- As the chairperson of the IAEC, it is under my perogative to ask certain questions in the common platform to know the process of how things are moving. If other members view the questions objectively then there should not have been any other issues.
- I do not believe in the end product being well done. I believe in the setting of the processes right for the next team of people to take up future projects and move on. I do not like to message privately. It has never been a practice for IAEC. Any events, we throw in questions in the Key members group or project group chat. I need to report to my CCC chairman and the CCMC chairman, need be the advisor. So I won't be molly cuddling with words. I cannot.
- Perhaps if all the questions on the platform was answered objectively and not looked upon as if certain members were targeted upon , we would have been able to move the project forward without any issues.
- There were no proper documentation on this event. No proper minutes was taken.

Food Distribution
- No issues. Well done Anish.

Grocery Distribution
- I had mentioned very very clearly from onset that we are looking at 220 grocery packs.
- Emails were sent to ALL KEY MEMBERS AS REQUESTED by secretary.
- Regular Updates were done on WhatsApp pertaining to the sponsors and the number of grocery packs.
- Yet it was alarming to see Key Members giving out the items to the others claiming it was extra.
- What was even alarming was it was done even after counting and knowing that the number is insufficient, definitely not 220.
- I would with very clear conscience like to establish the fact that no one asked my permission before giving out the items. Neither did anyone report to me the number of grocery bags before distributing the items. And I have people who can vouch for it.

- Moving forward..
Certain ground rules to be followed.

- Major event like Deeparaagam and Sangamam to be only chaired by the Chairman or Vice Chairmen of IAEC. By right these events used not to be rotated amongst members as these are CCC events.
- Smaller scaler events will be given to members for exposure
- Minutes to be taken at all meetings at all times. It is the duty of the secretary to chase for dued minutes if the assistant secretary has written it down.
- Have ownership in your words. If you promise your team mates that you will be for the prep at say 4.30pm, make sure you be there at 4.30pm. Not sashay in at 6pm without any phone calls or messages...if it is an urgency or family matter or even if u r sick, let your team mates know. No one is going to judge anyone hereThe same thing about picking up members esp during car pooling. Stick to the promised time. Do not make members wait for you for 15 mins under the carpark just because we are busy answering phone calls in the name of coordinating an event.
- Untolerable and improper behaviour will have their post immediately rusticated. Even if the member is extremely valuable or have served many years in the committee. It has happened before and as a Chairperson I will not hesitate to do so again too.
- Always have an open communication with the Chair and the Vice chair if matters are unclear. Do not assume things and do on your own without clearing from the chairperson.

Rama _ Groceries Distribution
Good – Anish did a good job by arranging with Dei.com to order the things. The committee members all came to help to distribute and the event went smoothly.
Improve –
1.	When there is a work to finish, the 1st thing to do is to take up the responsibility and get it done and not point fingers, blame each other, fight, talk behind the back.
2.	There was no proper instruction given to people who tried to help but a lot of blame is being put on them.
3.	The balance grocery bags that were not given out should have been arranged to be delivered to the needy people who for some reasons not able to come and collect from the CC.
4.	All sponsors items must have been treated as part of the whole grocery items and left out because it came from any one member.
5.	IAEC Committee members must have been informed about helping to pack as this was a heavy task.
6.	A better team work would have avoided a lot of unwanted issues that happened.
7.	I want to raise few issues with a meeting with the key members face to face.
8.	I will be sending an email to the key members regarding the actual and true facts that happened on the eve of grocery distribution.

Deeparagam
What went well -
The show was conceptualized well with interesting segments. It's commendable that we planned our show instead of leaving it to external vendors. Good job Buvanes and team!
Despite the rain on the shoot day, those present in the morning, Buvanes and Dev, did an amazing job in re-arranging the shoots and managing with what we could do. We also have to thank the residents for being accommodating and patient as some of them had to wait quite awhile.

We've to apologise to our member for being unable to go to her house for the cooking show. I spoke to her when she came down in the afternoon to the CC and she seemed sad that they couldn't share their cooking with the rest. But she understood the difficulty that was caused due to the rain. I think we should feature their family for the Pongal show.

Improvements -
Honestly, I think the deeparagam was really well planned and well executed even with rain spoiling the original plans. This shows the team's strength in being able to manage complications.
Maybe we should have a vice project chair for future projects. I feel it might help the project chair in terms of overall management. We can let the project vice chair to be a newer member. This can be a learning point for them as they can then be project chairs in future.

Grocery distribution
I'd like to thank all the members who came down to help with the packing and distribution on the actual day. A special thanks to Dev's sisters and friend for helping me in the packing on the eve before they started on their deco.

I am unsure of the issues that transpired during the evening of the packing as I was away for awhile. From what I have heard, there's been miscommunication and some unacceptable behavior. I feel the issues should be raised over a meeting and addressed with the people whom were present during that day. Let's address it and move on. All members should be aware of our responsibilities and decor and we should maintain it at all times when we come down to volunteer for our CC events.

I'd also like to thank our CC staff in helping us whenever we asked them for an assisting hand. All our queries were tended to promptly.

Food distribution -
Another huge thanks to all those that came down the past 2 weekends for the distribution. It was a learning experience for me in the planning and execution of this project.
I feel the actual distribution of the packets to the cars can be improved on so as to cut the delay on timing. I'm working on it and hope to create a more smoother process for the upcoming months.

Overall feedback-
I think the whole committee is strong and this feels more like a family. We should also work on our differences soon and move on.
On a side note, we should start to actively recruit newer members.

Anish
