The Problem: Where to meet, and when?

Who - All staff of Waking Up. Inc., some of the staff deal with clients mental health, while other staff provide other vital services such as food and cleaning. 

What - Employees need a quick and simple way to meet and exchange information while planning daily schedules. 

When - Some staff needs to meet more regularly than others, and not all staff need to be at every meeting. Some staff need to have quick meetings several times a day, while other staff only need meet weekly. 

Where - Currently staff meet face to face in the meeting room, but this takes a lot of logistical time for people to arrive from various places on campus. 

Why - 
Meetings are necessary for management on a daily basis to plan all the duties of all employees, once everyday.

Meetings are necessary for life coaches to communicate the programming of their clients schedules with the management.  

Meetings for cleaning, and food staff need to happen weekly to plan schedules and assign tasks.

By going virtual, WAKE UP Inc. Employees will be able to attend their meetings from their computer or mobile device. We will take a look at two different virtual meeting place providers.  - The COM230 consultants from Rio Salado college have been successful in using Skype for live video meetings. We have met two different times now, with more than 5 participants in the live video session. We were able to effectively communicate about Wake Up Inc. and their business. We sent text information back and forth in real time. We were able to log in from the comfort of our home office, and although internet connection was a small issue we quickly were able to make adjustments as one of our members logged back into the meeting.

 - Able to host multiple people in live video meetings. 
- People can send information and documents to one another in real time. 
- People can log into the meeting from anywhere they have a wifi connection. 
- Will save people time of having to gather for meetings.

Cons for Skype
 - Some of the personal touch of an in person meeting is lost through video meetings. 
- Some people do not feel connected to the group through technology. 
- Internet connection can go down. 
- It is easier for things to go unsaid if not in person.
